THE POSITION

Performs administrative type work of considerable difficulty and involving some independent judgment for the Vice President of Sales & Marketing; general office functions; performs related work as required. Under general supervision, takes and transcribes minutes of staff, general, or Board meetings; executes routine secretarial assignments, including transcribing, written, or composed correspondence; performs a variety of general clerical duties. Must be able to work independently. Must professionally represent the office of Vice President of Sales and Marketing both internally and externally to the organization. Hours will be 8am to 5pm Monday - Friday

WHAT YOU WILL BE DOING

Generally include the following but other duties may be assigned;

· Takes and Transcribes.

· Composes and prepares routine correspondence.

· Independently prepares recurring and ad hoc reports in spreadsheet or other format.

· Answers the phone, provides information and receives information concerning matters related to the marketing and sales departments.

· Maintains a calendar for the supervisor and other events and assures that complete information is available for all matters.

· Establishes and maintains a variety of files and records.

· Maintains control files of matters in progress and follows up to ensure that actions are completed.

· Coordinates other office functions with both internal and external organizations that supervisor has maintains involvement.

· Open, date, and sort incoming mail, fax, and if necessary email and other social media.

· Word process letters, statements, narrative and statistical reports, minutes, agendas, etc..

· Arranges for meetings and conferences and may take notes.

· Arranges travel for selected company staff and manages expense reports for her direct supervisor.

· The incumbent also assists the Sales & Marketing Department in functions such as preparation/ coordination/analysis of integrated budgets and expense forecasts, capital equipment requisition preparation/processing and secretarial service.

· Interface with other company managers or department to initiate requests and or reports.

· May be asked to travel locally or out of office on infrequent basis. No overnight travel is required.

· Prepares various government compliance reports.

· Other duties as assigned by supervisor.

· Must be able to work in an office environment during hours requested.

· Must be able to professionally represent themselves at all times to internal and external staff, trade, and clients.

EDUCATION and/or EXPERIENCE

  • Must have experience as a confidential sales administrative assistant.
  • Must have a high school diploma; a two year associate degree is a plus.
  • Two (2) years of experience in the performance of responsible secretarial and clerical work.
  • Knowledge of modern office methods and procedures, filing, telephone techniques, and office equipment, as well as English usage, spelling, grammar, and punctuation.
  • Ability to perform secretarial and clerical duties with speed and accuracy without immediate and constant supervision.
  • Ability to type at a speed of 60 wpm.
  • Ability to maintain a good working relationship with all co-workers and the general public and to use sound, professional, and discreet judgment in recognizing scope of authority.
  • Must be more than proficient in all Microsoft Office software including latest releases of MS Word, MS Excel, MS PowerPoint, and MS Outlook as well, Adobe Reader and Writer, and internet tools such as Google. GoToMeeting and working with Concur expense management systems proficiency is a plus. Other software training will be provided.
  • Be able to adapt and interface with the company enterprise-wide computer system after training.
  • Must be able to research information using the Internet.
